A Document You Can’t Find Might as Well Not Exist
Search just got a major upgrade in Helm CONNECT 1.36 — now you can search inside your documents, not just their titles. This is an ongoing initiative for us to improve safety, reliability, and ease of use.
Every operator knows the feeling. You’re certain the document exists. Someone wrote it, someone approved it, and it’s in your system right now. But it’s buried under a filename like SMS-04.3.2-Rev-C, and the clock is ticking. You scroll. You open the wrong file. You open another wrong file. You start to wonder whether the thing you’re looking for is even real.
We built the upgraded document search in Helm CONNECT 1.36 to end that particular brand of frustration for good.
Lost and found
Until now, searching your documents meant searching their names. If you didn’t know exactly what a file was called, you were reduced to opening PDFs one at a time and reading until you found the right one. That’s fine when you have twenty documents, but it’s a nightmare when you have thousands spread across a fleet.
The new upgraded search changes the rules. Type a word or phrase into the search bar, and Helm CONNECT now reads the contents of your published PDF documents, instead of just their titles, and returns every document that contains what you’re looking for. It searches across all your documents at once, so if a term shows up in five different items, you’ll see all five.
Here’s what it makes it useful:
It takes you right there. Search results tell you which pages contain a match, and clicking a result opens the document right to that page with the first match highlighted. No more skimming a 90-page manual to find the one paragraph that matters.
It’s forgiving. Search is case-insensitive and accent-insensitive, so “cafe” finds “café” and “SAFETY” finds “safety.” Use quotes for an exact phrase (“fire drill”), or a wildcard (safe*) to catch safety, safeguard, and everything in between.
It respects who sees what. Results follow your existing document access controls. People only ever see the documents they’re already permitted to see.
It just works. Your PDFs are indexed automatically in the background. There’s no setup, no tagging, no housekeeping on your end.
You no longer need to memorize a cryptic file name or remember which folder someone filed a policy in three years ago. You just need to remember roughly what it says.
Hide and seek
Picture a vessel underway at night. An engine room alarm sounds, and it’s a fault the engineer on watch hasn’t seen before. The manufacturer’s shutdown procedure is somewhere in the equipment documentation, but nobody remembers whether it’s in the OEM manual, the safety management system, or a standalone bulletin, and certainly nobody remembers the file name.
Before Helm CONNECT 1.36, that’s a scramble: open a document, scan, close it, open another, all while an alarm is going and adrenaline is climbing. Now the engineer opens Helm CONNECT, types the fault code or the equipment name, and the correct document (and the exact page) appears in seconds.
That’s the difference between a procedure that exists on paper and a procedure that’s actually there when a crew needs it.
Search and rescue
Fast search isn’t just a convenience, it’s a safety and reliability feature. A policy nobody can find under pressure is, functionally, a policy that doesn’t exist. When your crews can pull up the right guidance the moment they need it, your documented procedures stop being a compliance formality and start doing the job they were written to do.
And the quieter wins add up. Audits get faster when you can find every document that references a specific procedure instead of hunting through folders. New crew members get productive sooner when they don’t have to learn your filing conventions to find anything. And the documents with unconventional names — the ones labeled with numbers, revision codes, or acronyms only three people understand — are suddenly just as findable as everything else.
Finders keepers
The upgraded search is available now in Helm CONNECT 1.36. When you first upgrade, give the system a little time to index your existing documents, as larger collections may take a few hours to become fully searchable. After that, it’s ready whenever you are.
